Privacy Policy
Kaizen Software Development (“we”, “us”) operates the Gym Rank mobile application (the “App”). This policy describes how we collect, use, retain, and delete personal data — including health and fitness-related data — when you use Gym Rank. Last updated: March 17, 2026.
1. Health and fitness data we access and collect
Gym Rank is a fitness application. We collect and process data that relates to your health, fitness, or physical activity, including:
- Body metrics: body weight, date of birth, gender (used for rankings, recommendations, and display preferences).
- Workout and training data: exercises performed, sets, repetitions, weights, workout completion times, training programs, and related logs (stored on your device and, when you use cloud features, on our servers).
- Strength and ranking data: tier ratings, Elo-style rankings, muscle category and exercise-level performance used for the strength-ranking features and leaderboards.
- Goals and activity: fitness goals, training experience level, training frequency, daily goals, and challenge participation where you use those features.
- Optional media: profile images and workout-related photos you choose to upload (stored using our cloud file hosting).
We use this health and fitness data to operate the App: to log workouts, compute rankings, sync data across devices, show social and community features (e.g. feed, friends, guilds, challenges), personalize your experience, and improve reliability and features. We do not sell your health or fitness data.
2. Account and other personal data
- Authentication: email and account identifiers via Firebase Authentication; sign-in with Google or Apple where you choose those options.
- Profile: username, optional social links (e.g. Instagram, TikTok), in-app preferences (language, units, display options).
- Subscriptions: subscription status is processed through RevenueCat (and applicable app stores) to unlock premium features.
- Analytics: we use Firebase Analytics to collect app usage events and properties (e.g. app version, authentication method, aggregated fitness or progression-related properties) to understand how the App is used and to improve it. Analytics is governed by Google’s policies as well as this notice.
3. Where data is stored
Data is stored on your device (local database and files) and, when you are signed in and use synced features, on Google Cloud / Firebase (Firestore, Authentication, Storage) in accordance with Firebase’s infrastructure and security practices. Some third-party processors (Google, Apple, RevenueCat, Google Analytics) process data on our behalf as described in their terms and privacy policies.
4. How long we retain your data
- Active account: we retain your account, health/fitness, and related App data for as long as your account exists and you use the App, so we can provide the service.
- After account deletion: see Section 5. Primary profile and ranking records tied to your account are removed as described there; completion of removal for all copies (including backups) may take up to 90 days in line with our hosting providers’ backup cycles.
- Analytics: event data processed through Firebase Analytics is retained for a limited period according to our Firebase/Google Analytics data retention settings (often up to 14 months unless shortened in project settings).
- Legal: we may retain minimal records longer if required by law or to resolve disputes.
5. How to delete your data
You can request deletion of your personal and health/fitness data as follows:
- In the App: use the account deletion / “delete account” flow in settings. Google and Apple sign-in users will be asked to confirm identity; email users may need to sign in again recently to complete deletion. This removes your Firebase Authentication account, deletes your main user profile and global strength-ranking documents from our primary databases, and clears local App data on that device.
- Website: you may use our Remove User page on getgymrank.com if available for your account type, as described there.
- Email: contact support@getgymrank.com from the email associated with your account to request full erasure. We will confirm receipt and, where we can verify your identity, complete deletion of remaining personal data (including residual synced content such as feed or social data where applicable) within 30 days, except where we must retain certain information by law.
Aggregated or de-identified data that cannot reasonably be linked to you may be retained for analytics and product improvement.
6. Sharing
We do not sell your personal or health data. We share data with service providers (e.g. Google Firebase, Apple, Google sign-in, RevenueCat) strictly as needed to run the App. Content you post publicly (e.g. feed or leaderboards) may be visible to other users as designed by those features. We may use aggregated, anonymized data to improve the App.
7. Security
We use industry-standard measures including encryption in transit and access controls appropriate to Firebase and mobile platforms. No method of transmission or storage is 100% secure.
8. Your rights (including GDPR)
Depending on your location, you may have rights to access, correct, port, or object to processing of your data, and to lodge a complaint with a supervisory authority. To exercise these rights, contact support@getgymrank.com.
9. Children
The App is not directed at children under the age required by your region to consent to processing without parental permission. If you believe we have collected such data, contact us and we will delete it.
10. Changes
We may update this policy from time to time. We will post the updated version on this page and, for material changes, provide notice as required by law or within the App.
